Attendees will be walking past the vehicle display and THROUGH the expo hall for the opening general session that begins at 3:00 pm. -
4:30 pm: Welcome Reception in Expo Hall & Vehicle Display

8:30 am - 5:00 pm: Attendees will walk through the Expo Hall to access conference general sessions.

5:00 pm - 6:30 pm: Dedicated Time in Expo Hall & Vehicle Display

6:45 pm: Big Night Out
Vendors are invited to attend ALL elements of the OkTA Conference. Please join us for events like General Sessions, Breakout Sessions, Big Night Out, etc.! These "outside the Expo Hall" times are excellent for networking!
Booth Assignment Process
Your booth will be a table-top booth, which will include a 6ft table, two chairs and a waste basket. OkTA staff will be assigning your booth in the following priority order:

OkTA will send out booth assignments about 2 weeks prior to the Annual Conference. Registrations that come in after the booth assignments are subject to availability.
Outdoor Bus Display
The bus display will be located outdoors and will include a table and two chairs near your vehicle. Please provide the size of your vehicle to Elise Manion, elise@oktransit.org.
Sponsor Promotional Items Requested
If you are a SPONSOR, you may send 200 items (no flyers) to the address below to be provided to attendees. Please ensure they are received by their office no later than Monday, October 12, 2026:

Payment
OkTA MUST receive your payment 2 weeks before the Conference (By October 5). OkTA Reserves the right to deny your company exhibit space should payment not be received.
Attendee List
OkTA staff will send the attendee list to you 2 weeks prior to the Conference. A final list will be sent the week after.
Hotel
A limited block of rooms has been reserved at the Holiday Inn and Courtyard. Both hotels are in the Ardmore Convention Center parking lot. The group rate is of $99 per night.

Cancellation and Refund Policy- Exhibitors/Sponsors
Registration fees will be refunded (less a $100 cancellation fee per vendor/vehicle booth registration) if the request is received in writing, by email, no later than October 5. NO refunds will be given after the October 5 deadline, and no refunds are given for no-shows. In addition, no credits will be given.
Substitutions for persons in the same organization are allowed at no fee, but must be sent in advance by email to Elise Manion at elise@oktransit.org prior to the start of the conference.
